Import users
Batch import - A quick way to add or update many users at once.
Instead of adding users manually, they can be imported via an Excel file. User information such as name, email address, team affiliation, any background variables, etc., is included in a file that is uploaded to the platform. This saves time, reduces the risk of errors, and ensures consistent handling of user data.
A prerequisite for a successful import is that the organisation has user information structured in a way that can be organised into columns.
How to do it
You can choose to import users into the entire organisation or into specific groups.
You can select the company's top level, a specific summary, or a specific team. The process is the same.
-
Navigate to "Organisation" > "Manage Organisation" from the main menu on the left side.
-
Update the organisational structure and ensure it is correct.
-
-
Hover over the group where you want to add, update, or remove users, and click the three dots (• • •) to the right of the group.
-
Select "Import Users".
-
-
In the dialogue box that appears, you will find information about the import file and the option to export an import template tailored to your organisation.
-
Click "Export Import Template" and an Excel file will be downloaded.
-
📌 Read more about the import template and download an example
-
-
Add, update, or remove users in the file.
-
Upload the file and click "Import" in the same dialogue box.
-
-
The platform will validate the file and notify you of any errors or if it’s ready.
-
If there are errors in the file, information will be shown and an error report can be downloaded.
-
Correct the errors according to the report and upload the file again.
-
-
When the import is validated, you will receive the status "Ok, file ready for import!" and see what will be updated:
-
New users
-
Updated users
-
Users missing from the import file
-
You can choose to either keep the unmatched users or tick the checkbox to remove them.
-
-
-
Click "Import" to complete the process.
Note! An import is permanent and cannot be undone.
Users not included in the import file can either be kept in the platform or deleted:
-
Keep them if you are doing a supplementary import
-
For example, if a group of new users has been added after an initial import
-
-
Remove them if you want to replace the existing respondents
-
Most common when doing a complete new import
