Add and remove respondents and responses

It’s not uncommon for adjustments to be needed during ongoing surveys — anything from organisational changes to technical challenges.

There may be a need to distribute survey links through various channels, such as HR systems, chat tools, or other internal platforms. Respondent-side issues may also occur, such as incorrect email addresses, lost emails, or incorrectly submitted responses.

All of this is managed in the detailed view of the survey, which you can access via the main menu on the left under "Surveys" > "Active."

Open the detailed view for your survey by clicking the icon  Launch-1  on the far right of the row.

At the top of the detailed view, you’ll see the survey name. Next to it, you’ll find a three-dot  Horisontal  menu offering various options.

The available options depend on your role and permissions – contact your internal admin if you have questions.

Common needs and scenarios:

  • Add respondents and/or groups

Respondents and groups must exist in the organisational structure before they can be added to an ongoing survey.

  • Clear responses for respondents who submitted their answers incorrectly and need to retake the survey.

  • Export survey links for respondents who are having trouble with email delivery or links, or when links need to be distributed via internal systems and channels.

  • Remove respondents and/or groups

    • You can also remove respondents who have been deleted from the organisational structure during the survey period — for example, if they’ve left the company.

PIN code surveys

These are used for teams where respondents do not have individual email addresses and instead respond using a shared link and a PIN code.

  • Export PIN code groups
    You can export PIN code groups along with their respective group link and PIN code for distribution via your own internal channels, in addition to the automatic email distribution to managers.
