What is an external ID?
A unique identifier used to synchronise users and groups between systems.
An external ID is a unique identifier used to sync or match users and groups in one system with another system – often an HR system or internal database.
Why is it used?
-
To synchronise data between systems
-
To enable smooth import/export of users or groups
-
To avoid duplicates and ensure data consistency
Example ID's
- User: EMP71295
- Group: 4028163
With these IDs, the platform knows where to apply updates and additions during a user import – and does so automatically.
In the platform
A field for External ID is visible in views where groups and users are created or edited.
Note: This field is only active for customers who work with IDs from their internal systems. It's commonly used when importing users from HR systems.

Creating ID's manually
When creating groups manually, we recommend retrieving the group's ID from your systems. If the group does not already exist in your systems or lack an ID, you can enter a unique ID manually.
