Can I send emails manually?

Yes, it is primarily used to create new accounts and during ongoing surveys where issues or needs arise beyond the automatic email distribution.

Users with admin permissions can send emails to individual users via the organisational structure. This means that anyone you want to reach by email must first be included in the structure.

All communication sent from Brilliant’s platform — both manual and automatic — is based on predefined templates. The templates are managed in the library by users with specific permissions.

Common Scenarios

  • A respondent accidentally deletes the email containing their personal survey link.

  •  A manager (in PIN code-based surveys) accidentally deletes the group’s email with the survey link and PIN code.

  • A respondent has a new or changed email address that wasn’t updated before the survey.

  • Creating an account for a new user.

Manager accounts are created automatically when their team is included in a survey for the first time. As soon as the results are ready, an email is sent allowing the manager to create their account.

If the account is needed earlier, the email can be sent manually.

How to Do It

  1. Go to the organisational structure via the main menu: "Organisation" > "Manage organisation"

  2. Search for the relevant user, or navigate to their group in the structure

  3. Check the box to the left of the user’s name

  4. At the top of the view, a set of options will appear

  5. Click "Send email" – a dialog box will appear

  6. Select the appropriate template based on your purpose, for example:
    • A new account for a recently added user
    • A custom template designed for a specific survey (Invite, reminder, etc.)

      • Link the email to the relevant survey
  7. Click "Send"
