What is a PIN code solution?
A PIN code solution means that respondents in the team answer a survey via a team-specific link using a shared PIN code.
This solution is ideal for teams where one or more respondents do not have individual email addresses or access to a computer in their daily work—and where SMS is not an option.
How it works
- The manager receives an email with the team’s survey link and a shared PIN code, which they then distribute to the team.
- Each respondent uses the same link and the same PIN code.
Note: The manager does not respond using the PIN code but receives a personal link in a separate email.
Important to know
- A key difference between the PIN code setup and the traditional email-based solution is that the team link can be used multiple times.
- Therefore, it's important that respondents are clearly instructed to only submit their response once. If one or more respondents answer more than once, the response rate may exceed 100%.
- It’s also important that the PIN and link are not shared with anyone outside the team.
- A PIN code group can only contain anonymous users and cannot be mixed with regular users who have email addresses.
- Regular users must be removed and replaced with new anonymous users.
- In the organisational structure, anonymous users are represented only by a number, which reflects the expected number of responses and enables tracking of the response rate.
