Part 4 - Managing the organisation

The organisational and user data entered into Brilliant's platform is the backbone for measuring, analysing, and acting in the right way.

"Good data in - good data out"

User data forms the foundation to ensure that:

  • Each respondent answers the survey questions connected to the correct team, manager, and part of the organisation

  • Each manager receives access to the results and recommendations for their specific group(s)

  • Each team has the opportunity to create action plans

  • Insights and analyses can be generated based on various background variables

The organisational structure allows you to break down results across different hierarchical and team levels.

You can enrich the user data with background variables such as gender, employment date, age, location, country, etc., making it possible to filter results from several perspectives.

Which approach suits your organisation best?

There are several ways to build and manage changes to your organisational structure and user data in the Brilliant platform.
Your approach depends on the quality and setup of your master data (e.g. in an HR system) and your needs for measurement and reporting. These also affect how much time you'll need to prepare before each survey.

The method you use is determined during the initial set-up meeting when you become a customer.
If your conditions change over time – such as adopting a new HR system – your method can be adjusted by contacting Brilliant.

Three main ways to update organisation and user data:

  1. All-in-one file – A file from your system is imported into the Brilliant platform, updating both the structure and user data.
    (Ideal for organisations with well-structured, high-quality data.)

  2. Hybrid – A file updates the user data, while the structure is manually updated in the Brilliant platform.
    (Suitable for organisations with good user data, but no suitable structure in place.)

  3. Manual update – All changes are made directly in the platform.
    (Suitable for small organisations or those with limited data quality.)

A note on integrations: Integration is a popular request but, for most organisations, full integration of organisational and user data isn’t feasible.
This may be due to how data is structured in the HR system or the need for flexibility in how results are reported in the Brilliant platform.
If your HR system contains high-quality data and structure, it’s often more efficient to generate a preset report for import – usually more flexible than a fixed integration.

If you are the platform administrator, make sure to allocate enough time and resources based on your organisation’s setup before each survey.
